When you are reconciling your bank statement to the accounts in SCM, you can now add an income or expense within that page. What this means is that you don't have to leave the page, add your income or expense and go back to the bank reconciliation page all the time.
To add an income or expense, simply click on the relevant link on the right hand side and a table will appear. Fill in the relevant details and click the "Add" button.
Your item will be added to your SCM accounts in the background, then a new row at the bottom of the income/expense table will appear letting you clear it as normal.

When you are adding income and expenses, to save you time, if you have income or expenses all on the same date, you can select the top date field and leave the ones below blank.
The system will then set the rest of your entries on that page with the same date as the top one.

I’ve now added profit/loss totals on the right column of the profit & loss print page.
This is so that you can easily see the state of your account from year to date by glancing at the two total columns.

I'm happy say that the accounting feature of SwimClub Manager has now been completed and rolled out fully.
Over the last few months we've been working hard to massively simplify this whole section and I feel it is much easier to follow now and so easy for you to manage your club's finances.

I have updated the online knowledge base to reflect these new changes, and you can read an introduction to how it works here. Please read the whole "Accounts" section in the knowledge base before you ask any questions about it. Also, please let me know if you spot any mistakes, or sections that don't make sense!
I would also like to take this opportunity to wish you and your family a Merry Christmas and a prosperous New Year. SwimClub Manager has improved so much over the last 12 months and I'd like to personally thank you all for your support and comments throughout that period.
We have some more excellent ideas to improve the system even further moving into 2010, so this is a really exciting time!
As usual, please add your comments/feature requests etc in the member's forum.

Over the last few weeks we've been updating the accounts feature, and I'm happy to say it's almost finished. All that is left now is to write up the instructions etc.
I will be updating the online manual over the next couple of weeks to include all the new and updated features.
Feature Requests
To keep everything organised, can anyone asking for a new feature please add your request as a new topic in the "Feature Requests" forum.
You can access the forums by going to "Help, SwimClub Forum" when you are logged in.
This way, people can give their opinion on the requests and it will allow me to update the topics as and when I have any news.
Feel free to add anything you like in the forums, especially new feature requests!
Online Shop
For those of you on the "website option", we've been testing the new e-Commerce module and it is looking good so far. I expect to launch that to everyone on price option 1 shortly, if you would like to sell products via your website.

Members Pages
You may now archive your members pages. Go to "Setup, Members Page" and click on the "Archive" link above the editor section.
When you archive a page, it will appear at the bottom of your current members page so swimmers, parents and other users can access them when they are logged in.
You can also edit and delete the archived pages by clicking on the links at the bottom of your "Setup, Members Page" page.
Note, once you archive a page, after it is added to the archive, your current page is deleted so you can start afresh. If you then go and delete that archived page, you can not get the information back.
Just a warning so you know...
Accounts
I've also been making some slight changes to the way the accounts section works. Once they are finalised I will be releasing a "beginners guide" to the accounts section explaining exactly how you can use it to manage your club finances.
I don't think many of you are using the accounts section and feel it is an overlooked section that will benefit you.
Stay tuned for information on that over the next week or so.

I've added a new export report to the "Groups", "Export Data" page. You now have the following reports to run:
Swimmer Details - Full
This report sends you a csv file of all your active swimmers including the following fields:
Lastname, Firstname, DOB, Age, Gender, Address, Postcode, Emergency Contact, Phone, Email, Mobile, Notes, Doctor, Doctor Address, Doctor Phone
Swimmer Details - Partial
This report is a cut down version of the above report including the following fields:
Lastname, Firstname, DOB, ASA Registration, ASA Category
Outstanding Invoices
This report lists all your outstanding invoices including the following fields:
Invoice No, Invoice Period, Week, Swimmer, Invoice Type, Total
Outstanding Totals By Swimmer
This report lists all outstanding invoice totals by swimmer including the following fields:
Lastname, Firstname, Total Outstanding
If you can think of any more export reports you need, please let me know.

How are you getting on with the new accounts feature I emailed you about the other week? I've not heard any comments so I presume no one has had a chance to look at it yet? (Except Andy from Melton).

Trial Requests
I've expanded on the trial requests feature that was added yesterday. I have added more fields so you can track if you have issued membership packs, received forms back, received fees etc.
These new fields can be seen when you view your trial requests within SwimClub Manager.
Emergency Contacts
You may or may not be aware but as part of Swim 21 you now have to record 2 emergency contacts per swimmer. Swimmers profiles have been updated to reflect this.
Accounts
I'm also currently working on expanding the Finances section to include full accounts for your club with profit and loss reporting, expense categories etc. Stay tuned for updates on this in the near future.
