Splits

You now have the option of showing splits on the best swim times report.

Swimmer's Details

When a swimmer changes their details in their account (address, phone etc), the club admin user will now receive an email with the changes. This is so you can keep your ASA records up to date.

There was also a bug where in the swimmer's accounts, the wrong phone number was shown. It has now been corrected to show the swimmer's home phone number.

I was asked to add some extra functionality to the best swim times reporting via the member forums. The following new features have been added:

Selectable columns

You can now choose which columns you want to appear on the report. Simply click the check-boxes on the ones you want.

There is a new column that wasn't available before called "Age". If you leave the age on date field blank, the system will display the swimmer's age today. If you select a date for "age on date", the system will display the swimmer's age on that specific date.

Export to Excel

When you run the "Best Swim Times" report, there is now a new icon next to the print icon. Clicking on it will save/open the page in Excel on your computer, alowing you to manipulate it or save it for your records etc.

Depending on your web-browser, if you use Internet Explorer, the page should open excel within your browser, any other browsers such as Firefox, Chrome etc will save the Excel file instead of opening it directly.

You must have Microsoft Excel on your computer for this feature to work, or a program that lets you open .xls files such as Open Office etc.

AOL Email Problem - Update

I was contacted by one of AOL's engineers who is looking into the problem. They have checked and made sure that their system is not blocking our emails, and they asked me to send a test email.

I sent a test email to an AOL user this morning and so far I have not received a bounced undelivered email, so I'm hoping that this issue is now fixed.

Please let me know if you keep on getting undelivered emails to AOL users.

Forums Tip

You can receive an email notification when someone replies to your forum topic by selecting "email notify me of replies" when you are posting.

If you would like to keep an eye on a topic that you did not start, click on the red "topic options" icon and click "watch this topic".

I've made some small updates to the system today:

Swim Sessions
When you view your swim sessions under "Setup, Swim Sessions", it now displays how many swimmers you have assigned to that session in brackets next to each one.

Attendance Reports
You can now pick a specific month to list the attendance records on your "Group ReportS" page. So if you wanted to see who attended for July, simply select "Jul" in the drop-down field for the month and click "Run Report".

This uses the current year only.

Exporting Data
I've added a new finance report to the data export page; Outstanding invoices 3 months or greater.

This way you can chase the late payers more easily.

I've added a new print view for the "Outstanding Invoices" page.

When you are viewing this page you can now choose between the following print views:

• Summary - Prints a summary of just totals.
• Partial - Prints a partial invoice view, one per line.
• Full - Prints full invoices, one per page.

I've also started a new topic in the "Feature Requests / New Features" form that I would like your thoughts on. It is regarding swim time conversion.

I've made a couple of slight changes after receiving a couple of support tickets...

Previously, there was no real way of telling if your swimmers were logging in and using the SwimClub system.

You can now see when they last logged in by running the "All Swimmers" report on the "Group Reports" page. I have added a new column called "Logged In" which lists the date when the swimmer last logged into SCM.

Teaching Groups

I've also added a new column to the "Swimmers Details - Full" CSV export. The system now lists their teaching group just after their surname field.

Like to know who's birthdays are coming up in your club?

I've just added a new "Group Report". Simply select "Upcoming Birthdays" from the report drop-down field and choose a month. Click the run report button and all swimmers with birthdays in that month will be listed.

Click on the printer icon to view a printer friendly list.

Age On Date Reports
It was brought to my attention that after adding the "Age On Date" function to the Group Reports, I inadvertently created a bug. You couldn't just use the Age field without selecting a date from the Age On Date field.

This has now been fixed. You can now enter an age in the Age field without selecting an Age On Date and it will display the swimmers that are that age.

Website Statistics
Those of you that are on option 1 (SwimClub access plus website) can now track visitor statistics relating to your website.

You can view where your visitors came from, what pages they looked at, how long for etc.

If you would like these statistics, please reply to this email and I can set this up for you.

Upcoming Features

Shop
I will be working on the Shop feature so you can sell products via your websites. This is useful when you need to sell club related things to your swimmers such as hats, t-shirts etc.

Newsletters
Along with having the ability to be able to send newsletter emails to your club members, if you are on option 1, soon you will be able to collect names and email addresses from your website so that you can send news directly to them.

This will be optional and you will be able to switch this on and off from within your SwimClub account.

After customer feedback, the following updates have been made to the SwimClub system:

Swim times relay and position achieved
When you set a swim time as a "relay" time, these times are not included when calculating personal best times. The position achieved is so you can enter what position the swimmer came in the race.

Group Reports
You can now filter your results by swimmer's age when viewing the best swim times report.

You can now select whether you want to display the swimmers or simply count them when running attendance reports.

Attendance Sheets
Instructors can now print off an attendance sheet so they can "take a register" at the poolside. Then they can input the attendance into SwimClub at a later date.

Parents
You can now mark whether or not a parent is a time keeper or not.

Swimmers
You can now mark how a swimmer pays their membership fee. You can choose standing order, cheque or cash.

You may also enter when a standing order was sent to your bank, along with when the first payment is due.

You can now upload a photo of each swimmer that is visible when you view their details.

A whole new section has been created so that swimmers can have their own logins to view the club calendar and their swim times.
