This release marks an important step forward for SwimClub Manager. Version 8.0.0 introduces a cleaner, more flexible experience inside the web app, while the new website gives us a clearer and more useful home for product information, updates, guidance and resources for swimming clubs.

A smoother everyday experience

Version 8.0.0 has been shaped around the tasks clubs handle every day. We have focused on making common workflows quicker to navigate, easier to understand and more comfortable to use, especially for club volunteers and administrators who spend a lot of time working in the system.

One of the key improvements is a more efficient approach to member search and filtering. Finding the right member information quickly is central to club administration, so this update is designed to help you narrow down results more easily and get to the information you need with less friction.

Clearer attendance insight

We have also introduced a new visual attendance report, giving clubs a clearer way to review attendance patterns and understand what is happening across their sessions.

Rather than relying only on lists and figures, the new report is designed to make attendance information easier to scan, compare and act on. It should help clubs spot trends more quickly and support better day-to-day decisions.

Light mode, dark mode, your choice

Version 8.0.0 also introduces user-selectable interface themes. You can now choose the appearance that suits how and when you work, whether that is a bright light theme during the day or a calmer dark theme for longer sessions and lower-light environments.

This is a practical change, but an important one. SwimClub Manager is used by people with different preferences, devices and working routines, and the interface should feel comfortable as well as capable.

A refreshed website

Alongside the new web app release, we have launched a refreshed SwimClub Manager website. The new site has been created to make it easier for clubs to learn about the system, explore features, read updates and find useful information.

It also gives us a stronger place to share future product news, support articles, software updates and resources as SwimClub Manager continues to evolve.

This is not the full release announcement just yet, but we wanted to share a short preview of what is coming. There are some big improvements on the way, and the most noticeable one for many users will be the introduction of light and dark modes inside the app.

Light mode, dark mode, your choice

Everyone works a little differently. Some people prefer a bright, clean interface during the day, while others find a darker screen much easier on the eyes, especially in the evening or when working for longer periods.

Version 8 will give you the option to choose the style that suits you best. The new dark mode has been designed to feel calm, clear and comfortable, while the light mode keeps the familiar clean look that many clubs already know.

A new website too

Alongside the work inside the app, we have also been refreshing the SwimClub Manager website. The aim is simple: make it clearer, easier to browse, and a better reflection of where the system is heading.

The new website gives us a stronger place to explain what SwimClub Manager can do, share updates, publish helpful guides, and keep clubs informed as the system continues to grow.

More to come

Light and dark modes are only part of the story. Version 8 is shaping up to be an important release for us, and there is more going on behind the scenes than we are ready to talk about today.

In this April 2026 Update, our primary focus has been on enhancing the reliability of a crucial financial process: Stripe payment reconciliation. We’ve identified and resolved an intermittent but impactful bug that could disrupt your financial records and operational flow.

The Challenge: Previously, some users experienced an issue where, despite a successful payment being processed via Stripe for an invoice, our system would occasionally fail to correctly update the invoice status to ‘Paid.’ Furthermore, an associated income record might not be generated, leading to discrepancies in financial reporting and requiring manual intervention to correct. This could cause confusion, delay financial closing, and erode confidence in automated processes.

The Solution: We’re pleased to confirm that this reconciliation failure has been thoroughly investigated and fully resolved. Our engineering team has implemented robust changes to ensure that every successful Stripe payment is now accurately reflected across your account. This means invoices will reliably transition to ‘Paid’ status, and corresponding income records will be automatically and correctly generated.

At the core of this release is our dedication to refining existing functionalities and introducing features that pave the way for even greater efficiency and integration.

• The Problem: When generating meet files for events configured to accept only licensed entry times, the resulting CSV export incorrectly included personal bests (PBs) that originated from unlicensed events.
• The Solution: The export logic has been corrected to strictly adhere to event configurations, ensuring that only PBs from licensed events are included when specified.

One of the most requested improvements comes to invoice management. Previously, deleting an invoice from a member’s account page involved multiple steps, requiring you to navigate away from the member’s profile and then search for them again.

• What’s New: We’ve introduced a direct delete button adjacent to each invoice listed on a member’s account page.
• Your Benefit: This significantly reduces the time and effort required to manage invoices. You can now delete an invoice and immediately replace it without losing your context, leading to a much more efficient user experience.

• Accurate Bank Reconciliation: We’ve resolved an issue where bank reconciliations involving multiple invoices and credit notes would incorrectly show as successful, even when income records weren’t generated. This fix ensures your financial records are always accurate and reliable.
• Full Email Subject Lines in Drafts: No more truncated subject lines! Emails saved as drafts will now retain their full subject line, regardless of length, preserving the complete context of your communications.
• Robust API Data Handling: We’ve improved our API’s handling of data field lengths, preventing errors when submitted data exceeds database limits. This enhances the stability and reliability of your API integrations.
• Focused Logo Selection: The system logo and report logo selection interfaces will now only display images uploaded to your specific club’s documents section. This simplifies the selection process and prevents accidental use of incorrect images.
• Functional Email Editor Links: We’ve fixed an issue preventing users from entering URLs into the ‘Insert Link’ field within the email editor. You can now seamlessly add functional hyperlinks to your emails for club events and other communications.

2 Factor Authentication

Bug fix: You can now setup 2FA on your account as expected.

Emailing Contact Invoices

Bug fix: When emailing an invoice to a contact, if you select an email template, the body and subject of the email are now correctly used instead of the default invoice email.

Club Documents

You can now upload .ics files to your club documents folders.

Waiting List

Bug fix: When converting a waiting list member to full member, if they put “none” in the medical details field, it now correctly sets medical history to “No” on the converted member.

Events/Meets

Bug fix: When sending emails to swimmers for events/meets, if the recipient has the mobile app installed, it tries to open the link in the app instead of the web browser.

Reset Password

Bug fix: When using the reset password function via the mobile app, the link in the reset email tries to open in the app instead of the browser.

Code of Conduct

Bug fix: When viewing a member’s account page, on the Code of Conduct tab, if you have the correct permission you can now update the Acknowledged date for Code of Conducts.

Best Swim Times Report

Bug fix: When you use the “Only Times Swam Before” date filter, that date is not used when you export the results.

Membership Renewals

The system now prompts you if you have not added the “Membership Renewal Link” when you try to send the email.

Mobile App

Bug fix: When you disable push notifications in your device settings, the app no longer prompts you to go to setting to re-enable them each time you open it. Important: Please download the latest mobile app version (5.3.0) from the app stores to install this fixed version.

View All Swimmers

The misleading magnifying glass icon (that you click to view SE Times for that swimmer) has been replaced with a stopwatch icon.

Para Classification

If you have para swimmers, you can now set their classification. This is then used when you export Hy-Tek entry files.

SwimClub Manager API

We are almost ready to launch the API on the new infrastructure. If you use the API and have not yet contacted us to ask for the test URL, please do so as soon as possible. There are breaking changes in the new API that you need to test before we go live.

Relay Teams

You can now create a relay team using the new Select Relay Team report.

Swim Times

Bug fix: When adding a swimmer manually to a meet, clicking the icon to view their PBs now does not include DQ times.

Bug fix: When trying to access the “Import SE times” page, some users received a generic error message.

Open Meet Performance Report

You can now select the date of swim from/to.

Email

You can now email all active members.

View Members Page

We have made the “Name” column wider so names should now be shown on one line instead of wrapping onto two.

Xero Integration

Best Swim Times Report

Bug fix: When selecting a qualifying times group to compare to, the green/red/amber swim time colours have been added back in like they used to be.

For Scottish clubs the “SS Number” title has been changed to “SASA Number”.

Swim Times

Bug fix: When viewing a member’s swim times, clicking the “View Splits” button now shows the split as expected.

Waiting List

The waiting list table not displays in “date added descending” order.

Club Inbox

Bug fix: When viewing an email with an attachment on an Android device, you can now click the attachment to view/download it.

Text Messages

When sending a text to a club session, the system now includes any volunteers assigned to the session as well as the coaches assigned.

Calendar

If you have the “No sessions on calendar” option set to “Show session in red”, on desktop, the whole event is now in “strike-through” font instead of just the time part of the event.

Dashboard

Bug fix: The DBS/Safeguarding certificate renewal notice now displays as expected when you have the “Dashboard Certificate Renewal Notification” set to 90.

Parents

Bug fix: When viewing one of your assigned swimmers, you can now click the button to link your direct debit mandate to the swimmer’s account.

Invoices

Bug fix: When you click the icon to email an invoice to a contact, you can now see the email editor as expected.

Calendars

The calendars now show the colour for the whole event title, instead of just a dot next to it.

Attendance

When you are adding attendance via “Members > Attendance > Add by group/session”, you can now click the Yes/No text (when you have previously added attendance for that member), and change it from Yes to No and vice versa, instead of deleting the attendance record and adding it again.

Emails

Bug fix: When using an Android device on the mobile app, and you tap on an attachment via your “Notifications” page, the attachment now downloads/opens as expected.

Documents

You can now view any documents your club has assigned to you or your assigned swimmers.

Meets

Bug fix: The “No times slower than” and “No times faster than” options now work as expected.

Bug fix: The “View Swimmers Not Responded” list now does not include swimmers that have been added to an event manually, or are in the “Confirmed Swimmers” section already.

Attendance

Member avatars are now visible when adding attendance.

Certificates

You can now choose between 30, 60 or 90 days for your “Certificates due for renewal” section on your dashboards.

Account Statements

When emailing account statements in bulk, you can now select the “Reply To” email address.

Members

New page added under “Members > View” for “All teachers”.

Bug fix: When viewing a member and you add them to a group, if you then press the “Email” tab, the email form now displays as expected.

Waiting List

You can now archive waiting list members in bulk.

Club Calendar

Bug fix: When you add the iCal feed to a Google Calendar, single day events now display as expected.

Qualifying Time Groups

You can now copy your own QT groups.

Mobile Devices

When viewing your dashboard on a mobile (or via the app), the club feed is now displayed at the top instead of the bottom.

There is now a “back” option in the breadcrumb links in the mobile app.

Meets

Bug fix: For meet events that are relays, if a relay event has no cut off times, and the swimmer has no swim times, they are now shown as eligible as expected.

You can now set the “Relay Team” (A, B, C or D) for each swimmer in a relay event. This team letter is then included in the exported entry file.

Members

We have changed the permission required to reset a member’s login password and remove 2 factor authentication from “SCM Administrator” to “Manage User Roles”.

Bug fix: If a member is in a role that requires 2 factor authentication, but the member has not setup 2FA yet, it now redirects you to the correct page instead of a blank page.

Club Calendar

Bug fix: When adding individual no session dates, they are now not shown on the calendar (or shown in red if you have that option set).

Emails

Big fix: You can now delete individual emails in the deleted emails folder.

Members

Members in the “SCM Administrator” role can now remove 2 factor authentication on a member’s account.

When creating an invoice via a member’s account page, there is now am option to click on to list all invoice periods, instead of the default last 3 months.

Club Documents

Bug fix: You can now download documents in the mobile app.

Attendance

You can now filter by group when adding attendance via your dashboard.

There is now a count of members not attending at the bottom of the table.

The coaches and volunteers are now included after the swimmers when adding attendance via your dashboard.

We have made the attendance yes/no buttons slightly larger to help when on a phone.

Club Kit

Bug fix: When adding an option to a product, the popup that appears now scrolls as expected if you have a lot of options to choose from.

Members

When viewing a member, if you have the email field hidden on your member/parent/volunteer form options, members in the “SCM Administrator” role will be able to see and update it.

You can now view and create member confirm page links when viewing a member (if you have the correct permissions).

Bug fix: On your “My Events” page, clicking a link now works when you are on the mobile app.
